Phase 1: Pre-Event Coordination

Our event coordinator will collaborate with District administrators and athletic staff to determine the anticipated number of participating students, confirm the event schedule, and identify an appropriate campus location such as a gymnasium, cafeteria, or multipurpose space.


We will also provide in advance instructions and required forms so students arrive with completed medical history and consent documentation, allowing the process to begin promptly and move efficiently.

Phase 2: On-Site Examination Process

Our licensed healthcare professionals will implement a structured, multi-station workflow designed to maximize efficiency while maintaining a high standard of care. Students will move through stations for check-in, vital signs collection, medical history review, and a physical examination conducted by a qualified provider.


This approach allows multiple students to be processed simultaneously and minimizes wait times.

Phase 3: Equipment and Staffing

Our team will supply all necessary medical equipment and documentation materials, requiring only basic tables, chairs, and space from the District. Staffing levels will be scaled to match anticipated participation to ensure that all examinations are completed within the scheduled timeframe while meeting applicable medical and athletic participation guidelines.

EyeBOX TBI by Oculogica Baseline concussion screening

In addition to standard preparticipation physical examinations, we offer baseline concussion screening using the EyeBOX TBI machine. This advanced technology measures eye movement biomarkers associated with concussion and traumatic brain injury, providing an objective, non-invasive baseline assessment before participation in athletics.


Baseline assessments can be conducted efficiently alongside sports physicals without significantly increasing processing time, allowing large groups of athletes to be screened during the same event. The data collected can help inform return-to-play decisions when used in conjunction with clinical evaluation and existing district policies.

By incorporating this technology into the physical event, school districts gain access to a modern concussion assessment tool that strengthens student-athlete health monitoring and demonstrates a proactive commitment to sports safety.

What does our organization need to provide for the event?

Very little. Your district only needs to supply basic tables, chairs, and an appropriate space such as a gymnasium, cafeteria, or multipurpose room. We bring all medical equipment, documentation materials, and staffing.

What is the baseline concussion screening and is it required?

It's an optional add-on service using the EyeBOX TBI machine by Oculogica. It measures eye movement biomarkers to establish a non-invasive baseline for each athlete before the season begins. If a concussion is suspected later, that baseline data can support more accurate comparisons. It runs alongside the physical exam without significantly adding to overall processing time.
